Our client is a thriving, boutique wealth management firm based in Melville, NY. They seek a highly experienced and proactive Executive Assistant / Practice Manager to support their CEO & Lead Advisor.
Key Responsibilities:
- Ability to manage the daily flow of a growing advisory business.
- Provide high-level executive support to the CEO and Lead Advisor, including calendar management, meeting preparation, and client communications.
- Oversee and optimize day-to-day practice operations; act as liaison across team members, vendors, and clients.
- Coordinate client service workflows, including onboarding, follow-ups, documentation, and compliance tracking.
- Assist with project management, internal systems, and operational initiatives.
- Ensure timely and accurate data entry into CRM and support maintenance of financial and insurance records.
- Help maintain a culture of excellence and high-touch client service.
Qualifications:
- Minimum 5+ years of experience as an Executive Assistant or Operations Manager supporting executives in wealth management, financial services, or professional services firms.
- Strong understanding of wealth management, insurance, and financial planning processes.
- Securities License (Series 6, 7, or equivalent) required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience using a CRM system
- Excellent interpersonal skills, a team-oriented mindset, & attention to detail.
- Proven ability to handle confidential information with discretion and work independently in a fast-paced environment.
