Executive Assistant & Client Services Coordinator

A small, established manufacturer in Springboro, OH is seeking a highly organized, customer-focused professional to handle customer service, inside sales support, and core executive/office coordination. This is a key role in a tight-knit environment where you’ll be trusted, visible, and central to keeping customer relationships strong and office operations running smoothly.

Key Responsibilities

Customer Service / Inside Sales Support (≈65%)

  • Serve as the main point of contact for customer inquiries, orders, delivery updates, and service needs.

  • Coordinate delivery timelines and work with production to resolve technical questions.

  • Build strong customer relationships through fast, professional communication.

  • Maintain accurate customer records, order details, and service documentation.

  • Support the sales team with account activity tracking and customer follow-up.

  • Enter and maintain CRM/ERP data; track sales progress and customer interactions.

  • Identify opportunities to upsell or cross-sell when appropriate.

Executive & Office Support (≈35%)

  • Provide administrative support to leadership: scheduling, document prep, and calendar management.

  • Assist with onboarding, benefit-related tasks, and maintaining HR records.

  • Oversee general office systems, including CRM/ERP accuracy and simple updates.

  • Perform data entry, maintain organized files, and support small projects as needed.

Qualifications

Education

  • Bachelor’s degree preferred but not required.

Experience

  • 2+ years in customer service, inside sales, office coordination, or administrative support.

  • Manufacturing or industrial experience strongly preferred.

  • CRM or ERP proficiency required; ERP/CRM implementation experience is a plus.

Technical Skills

  • Strong Microsoft Office skills (Excel, Word, Outlook).

Soft Skills

  • Excellent communication—written and verbal.

  • Highly organized, detail-oriented, and able to juggle multiple priorities.

  • Self-starter with a collaborative mindset.

  • Comfortable working independently in a smaller environment.
