As the Executive Team Assistant, you will work closely with leadership to streamline operations, support key initiatives, and ensure exceptional customer service. You’ll coordinate schedules, communications, and priorities for executives overseeing Operations, Finance, HR and Manufacturing, ensuring everything runs smoothly. Your role includes handling administrative tasks like scheduling, calendar management, travel arrangements, and preparing reports, while acting as a central point of contact to maintain clear communication and efficient teamwork. Additionally, you’ll support inside sales and customer service efforts by assisting with order inquiries, coordinating delivery timelines, and fostering strong relationships with clients. Confidentiality and professionalism are essential in ensuring seamless operations across the organization.
1. Supporting the CEO
- Be the face of the company for customer interactions, addressing inquiries about orders, delivery schedules, and service needs.
- Strengthen customer relationships through prompt and professional communication.
- Coordinate with internal teams to ensure timely and accurate delivery timelines.
- Manage the CEO’s calendar, organize meetings, and provide overall administrative support to ensure smooth operations.
2. Assisting HR & Financial Leadership
- Serve as the benefits liaison, providing employees with clear information on enrollment and updates while coordinating with providers.
- Manage HR-related tasks, such as onboarding, maintaining employee records, and assisting with compliance requirements.
- Assist with reviewing and organizing expense reports, tracking budgets, and preparing financial summaries.
- Utilize Paycor to maintain HR and payroll accuracy, supporting employee needs and ensuring seamless processes.
3. Supporting Manufacturing and Planning Support
- Support production planning by maintaining and generating Excel reports for manufacturing metrics.
- Help manage MRP/ERP systems by updating records and pulling data for strategic decision-making.
- Collaborate on improving operational schedules and assist in tracking performance goals.
- Provide administrative support to the VP of Manufacturing to help drive efficiencies across the department.
Education:
- Bachelor’s degree in Business Administration or a related field is preferred but not required.
Experience:
- At least 3 years of experience in an executive support role or administrative capacity, preferably in a manufacturing or industrial environment.
- Exposure to CRM, ERP, or payroll platforms (e.g., Paycor) is strongly preferred.
- Experience in HR processes or financial support is a plus.
Technical Skills:
- Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong familiarity with MRP/ERP systems and other business software.
